Housing & Tenant Services Coordinator

Part time Housing & Tenant Services Coordinator needed for non profit supportive housing and family services organization located in Plainfield, NJ.  20-25  hours per week.  Requires organized, self starter with excellent people skills.  Microsoft Excel & Word skills required and QuickBooks and YARDI a plus.  Experience with HUD subsidy sources for supportive housing preferred. Reports to Finance Director. 

Varied duties to include:
1)    Tenant Liaison—rent collections, maintain security deposit records, maintain subsidy files and documents and confirm related calculations, execute lease renewals, and lease compliance notices.

2)    Receive tenant maintenance calls and prepare work orders. Coordinate work orders with contracted maintenance vendor. Retain agency cell phone off hours for emergency tenant maintenance calls.

3)    Set up and implement a monitoring system for tenant monthly utilities including; gas electric, garbage and water and review with Finance Director. Create and Maintain Excel spreadsheet of utility payments amounts by unit and tenant.

4)    Coordinate required City and DCA inspections of housing units and maintain inspection records and required postings.

5)    Coordinate security system and monitoring.

6)    Establish and manage all utility agreements with vendors including; meters, meter readings and follow-up with vendor. 
 
7)    Establish and implement a preventative maintenance schedule and conduct periodic safety inspections of the units per this schedule. 

8)    Complete housing and tenant related general accounting duties as needed… knowledge of Excel required. 

9)    Housing related accounts payable tasks to organize check requests and distribute prepared checks, obtain required signatures on checks, prepare checks for mailing, post letters, file vendor invoices, contact vendors with questions and follow up.

10)   Coordinate office cleaning and supplies and order as required, maintain office supplies, oversee service related to office machines postage meter and copier, call for maintenance as needed.
